One app for project teams

One workspace for tasks, time, and team ops.

Your project tracker, your timer, your leave manager, and your weekly reports — one URL, one bill, one login. The desktop app logs the hours so nobody fills a timesheet on Friday.

The current state

Running a team shouldn't take four logins.

  • Tool fragmentation taxes the day.

A task tool, a separate timer, an inbox for leave requests, a spreadsheet for reports. Switching between them quietly costs more time than the work they were bought to support.

  • Visibility runs on memory.

Standups turn into end-of-day recall exercises. By the time a manager pieces together what shipped, the detail that matters is already gone.

  • Timesheets rarely match reality.

Hours typed in on Friday are guesses. Hours captured while you actually worked aren't. Without the second number, billing reviews turn into arguments nobody wins.

  • Leave lives in your inbox.

Approvals, balances, and return dates scatter across email threads and HR spreadsheets. To find out who's out this week, someone ends up posting to Slack instead of opening a system.

TaskFlow does all four in one app.

One app. Three jobs.

Capture the work as it happens. Understand what got done. Report it without anyone reformatting a spreadsheet.

Capture.

The desktop app records hours, activity signals, and (optionally) periodic screenshots while you work. No timesheets, no end-of-week guesswork.

Understand.

AI summaries roll up each member's day — what shipped, hours per task, blockers — into a single readable digest. Managers get the answers before they have to ask the questions.

Report.

Cross-project hours, per-member breakdowns, CSV exports, deep-linkable filters. Every view of the week is a URL you can paste into a Slack thread.

Why teams pick us

Three things a generic task tracker can't do.

If your team bills by the hour, ships against deadlines, or answers to a client about how time was spent — these are the parts you can't fake with sticky notes.

Objective activity signals

See actual focus time not just hours logged.

The desktop app counts keystrokes and mouse events while a timer is running — never the keys themselves, just the count. The dashboard turns those counters into a per-session activity score so idle time stops counting as work.

  • Activity score per session — replaces self-reported productivity
  • Runs in the background; no extra monitoring software to install
  • Counts events only — no keystrokes, no clipboard, no content

AI-generated summaries

Daily updates that write themselves.

At end of day, an AI reads each member's session log — tasks closed, hours per task, comments — and drafts the daily update. The member reviews, edits if they want, hits submit. Managers stop chasing recap emails.

  • Drafted from real session data — not vibes, not guesses
  • Run server-side at sign-out; the AI key never touches the browser
  • Member edits before submitting — AI is a starting point, not the source of truth

Tenant-scoped storage

Spot-check the work without breathing down necks.

The desktop app takes a compressed screenshot every 9-10 minutes while the timer is running, uploaded straight into your workspace's own S3 prefix. Managers can verify deliverables without standing behind anyone's monitor.

  • Scoped to your workspace prefix — no other tenant can read your captures
  • Compressed JPEGs — a full day is a few megabytes, not gigabytes
  • The capture loop stops the moment a member stops the timer

Up and running in three steps.

No sales calls and no onboarding projects. Provision a workspace and your team is productive within the hour.

  1. 01

    Spin up your workspace

Pick a workspace code your team will sign in with. Set the theme, the leave types, the departments. About 60 seconds.

  2. 02

    Invite the team

Send email invites. They set a password, land on their dashboard, and go. Roles decide what each person can see and edit.

  3. 03

    Hand out the desktop app

One installer per teammate. From then on, hours, activity, and the end-of-day update happen automatically while they work.

Tailored to your scale and compliance needs

For large organizations with security, data-residency, or compliance requirements that warrant a contract.

Everything in Pro, plus:

  • Unlimited members and projects
  • White-label branding (logo, colours, terminology)
  • Unlimited audit-log retention
  • Dedicated infrastructure on request
  • Named CSM and contractual SLA
  • Procurement, DPA, and security review support
  • Custom domain on your workspaceSoon
  • Single sign-on (SAML, OIDC)Soon
  • SCIM provisioning and directory syncSoon

All tiers include AES-256 encryption at rest, TLS 1.2+ in transit, and full workspace export at any time.

Free for teams up to 10 members and 3 projects, with no card required and no time limit. Pro adds higher caps (50 members and 50 projects), screenshots, custom roles, custom pipelines, HMAC-signed webhooks, and a 365-day audit-log retention. Enterprise lifts every cap and adds white-label branding, named CSM, SLA, and procurement support — with SAML/OIDC SSO, SCIM, and custom domain on the near-term roadmap. See the pricing section above for full feature lists.
The next invite or project creation is rejected at the API with a clear "your Free plan is limited to {N} {users/projects}" error — no silent degradation. Existing members and projects keep working. Upgrade to Pro to lift the cap; existing data is untouched and no migration is needed.
Owners and admins can open the weekly digest from the Reports tab. The system aggregates seven days of task updates, attendance, activity, and day-off records into deterministic metrics (hours, contributors, missing days, presence/intensity scores), then asks an LLM to write a short editorial recap around those numbers. The AI is explicitly forbidden from inventing figures — it only writes prose around what the math has already produced. Available on every plan, including Free.
Yes, on every plan. Members can enrol a TOTP authenticator (Google Authenticator, 1Password, Authy, etc.) from their profile. Owners can enforce 2FA workspace-wide. Recovery codes are generated at enrolment so a lost authenticator does not lock anyone out.
Yes. Every privileged action — role changes, member removals, ownership transfers, settings edits — is recorded with the actor, target, and rule identifier, with filters by action and date range. The viewer is included on every plan; retention differs by plan (30 days on Free, 365 days on Pro, unlimited on Enterprise). Audit events are bundled into the full-workspace JSON export today; a standalone CSV export from the audit page is on the roadmap.
Yes — on Pro and Enterprise. The three default roles cover most teams; Pro adds the ability to clone any default role and edit its permission set field-by-field, or build a new role from scratch. Custom roles are scoped to your workspace and never affect other tenants.
Yes. Every list view supports CSV export. A full-workspace export covering users, projects, tasks, attendance, time-off records, and audit log is available as a single JSON archive from the workspace settings page.
Every database record is prefixed with your organization identifier. Each authenticated request re-reads the requesting user’s role from DynamoDB rather than trusting the JWT claim alone. Uploads reside under your organization’s S3 prefix, and the presigned-URL handler rejects any key outside that scope.
Self-hosting is not formally supported at this time. The backend runs on Python Lambda, DynamoDB, and AWS CDK, so a technical team can adapt the infrastructure to run in its own AWS account. A packaged self-hosting option is on our roadmap.
One workspace corresponds to one team. Within a workspace you can create any number of projects, each with its own membership and roles. Organizations operating multiple business units should provision a separate workspace per unit to maintain full data isolation.
Active sessions are finalized at sign-out, and recorded hours are attributed to the day of clock-in. If the application is force-closed, a nightly process closes any orphaned sessions so timesheets remain accurate.
